Uploading an auction sheet on a vehicle

Attach an auction sheet to a vehicle, review the extracted data, and approve it.

Attach an auction sheet to a vehicle from the Auction sheet tab on the vehicle detail page. ImportOps reads the sheet, pulls the fields into a reviewable form, and once you approve, attaches the sheet to the vehicle as a document.

Before you start

  • You need Vehicles edit permission.
  • Your plan needs auction sheet extraction included. See Extraction limits for quota details.
  • You have the auction sheet as an image or PDF.

Uploading the sheet

  1. Open the vehicle detail page.
  2. Go to the Auction sheet tab.
  3. Click the file input and pick the sheet. Supported formats: JPEG, PNG, WebP, GIF, and PDF.
  4. Tick the acknowledgement that extracted data is a starting point and you'll verify it against the original.
  5. Click Upload and extract.

The upload takes a moment and the extraction begins. You'll see a processing overlay while the sheet is read.

After extraction

ImportOps takes you to the review view automatically. The status chip tells you where it is:

  • Needs review (amber): you're in the driving seat. Check the fields, edit anything that isn't right, then approve.
  • Approved (green): you've signed off. The sheet is attached to the vehicle as a document.

Approving

Click Approve in the action bar at the top of the review. This does two things:

  • Flips the extraction's status to Approved.
  • Attaches the sheet to the vehicle as a document (type: Auction sheet, status: received). You'll see it in the Documents area on the vehicle.

What Approve doesn't do

Approving an auction sheet does not update the vehicle's own fields (Make, Model, Year, Mileage, Colour, and so on). The approved sheet is a reference document attached to the vehicle; the vehicle's record stays as you set it when you added the vehicle. If you want the vehicle's fields to match what's on the sheet, edit the vehicle directly.

If extraction fails

Extraction can fail for a few reasons: the image is too small or too blurred to read, or the service timed out. The review view shows an error card with a short explanation and a Retry button when retrying is likely to help. See When an extraction fails.

Uploading again

To replace an extraction that's already there (for example, a higher-quality scan), click Delete in the review action bar and upload again. Delete removes the image and the extracted data. This can't be undone.
