Adding and removing vehicles on a shipment

The two ways to attach a vehicle to a shipment, how to take one off, and why only Purchased vehicles are eligible.

You can manage which vehicles are on a shipment from either side: the shipment's detail page, or the vehicle's detail page. Both routes end up in the same place; use whichever one you're already on.

Before you start

  • You need Shipments edit permission to attach or remove vehicles.
  • The vehicle needs to be at the Purchased stage for it to be eligible.

Adding from the shipment

On the shipment detail page, click Add vehicles. A sheet opens showing every vehicle currently at the Purchased stage that isn't already on this shipment. Inside the sheet you can:

  • Search by stock number, make, model, or VIN.
  • Multi-select vehicles by ticking them.
  • Click Add to attach everything selected in one go.

Adding from a vehicle

From a vehicle detail page, click Assign to shipment. The sheet lets you either pick an existing shipment or create a new one. If you create a new one, the vehicle is attached automatically when the new shipment saves.

Why only Purchased vehicles appear

Only vehicles at the Purchased stage show up in the Add sheet. Vehicles already in transit, at the workshop, sale ready, or delivered aren't eligible because they aren't waiting for a voyage.

Removing from the shipment

Each row in the Vehicles panel on the shipment detail page has a remove button. Click it to take that vehicle off the shipment. A confirmation step prevents accidents.

Removing is non-destructive. The vehicle record stays, its costs stay, and its customer and tracking link are untouched. Only the link to this shipment goes away.

Removing from the vehicle

You can also unlink a vehicle from the vehicle's own detail page. The outcome is the same.

What happens to the vehicle's stage

If the vehicle was showing an In transit pill because of the shipment, that pill goes back to Purchased once the link drops. If you had also filled in the vehicle's own ETA and vessel fields, those will drive the pill instead.
