Job sheets
Download a job sheet pre-filled with open tasks, tick them off on paper, then upload to mark them done.
Job sheets close the paper loop: when your team prefers ticking tasks off on a printed sheet rather than marking each one done in the app, download a job sheet, tick what's done on paper, then upload it so ImportOps marks the right tasks complete.
Before you start
- You need Workshop edit permission.
- Your plan needs job sheets included. Job sheets are a Pro feature. See What's included on Core vs Pro.
- Open Workshop → Workshop AI.
Step 1: download the job sheet
Under Record work:
- Pick the vehicle you want a sheet for.
- Click Download job sheet.
The sheet downloads as a PDF with the vehicle's details at the top and a row per open task on that vehicle. Each row has the task title, space for notes, and tick boxes for completed and for parts used.
Step 2: tick off on paper
As tasks are completed, tick them off on the printed sheet. Add notes or parts information in the provided columns.
You don't need to tick every task; untouched tasks are preserved in the upload step.
Step 3: upload the completed sheet
Back on Workshop AI, under Upload completed job sheet:
- Pick the vehicle the sheet belongs to.
- Choose the file (PDF or clear photo). Max 20MB. Supported formats: JPEG, PNG, WebP, PDF.
- Click Upload for review.
A processing overlay appears while the sheet is read. You're taken to the review screen once it's ready.
Step 4: review the matches
The review screen shows each row from the sheet matched to an open task on the vehicle. Per row:
- The raw text from the paper.
- The matched task on the vehicle (with confidence indicator).
- Whether the row was marked complete on the paper.
- Any notes or parts captured.
For each row you choose:
- Approve: applies the tick. If the row was marked complete, the matched task is marked done. Notes and parts are carried onto the task.
- Ignore: leaves the task alone (with an optional reason).
Low-confidence matches are flagged. If the suggested match is wrong, either ignore the row or edit the match in the review controls.
Step 5: apply
Click Apply. The approved rows update the matched tasks: done tasks flip to Done, notes and parts information are saved, and the Cost needs adding loop kicks in for anything where parts were used.
The review is marked Applied and stays on the vehicle's Recent prep sheets list so you have a record of the sheet that closed each task.
What doesn't get touched
- Untouched rows on the sheet stay as open tasks on the vehicle.
- Tasks that weren't on the sheet (for example, added in the app after the sheet was printed) are preserved as open.
- Previously done tasks aren't affected by this upload.
Handling failures
Same as planning sheets: image-quality failures need a better upload, timeouts are retryable, and the monthly extraction allowance applies. Full details in Planning sheets.
Good practice
- Print the sheet at the start of the shift so everyone can tick as they go.
- One sheet per vehicle. Keeps the match unambiguous.
- Upload at the end of the shift or the day so tasks are closed promptly.
- Capture parts notes on paper if a cost will be added later. Saves rewriting them in the app.
