The Workshop area

A tour of the Workshop week calendar, vehicle list, summary cards, and how the two views fit together.

Workshop is where your prep work lives: tasks against vehicles, an assignment view by day, and a vehicle list that shows what each vehicle still needs. This article walks through the two main views and the summary cards that link them together.

Before you start

  • You need Workshop view permission to open Workshop.
  • You need Workshop edit permission to add, edit, and complete tasks.

Two landing views

Workshop has two full-page views you move between:

  • Week calendar: tasks laid out by day across the working week, grouped by assignee. Open from the sidebar or from the Week calendar button on the vehicle list.
  • Vehicle list: vehicles currently at the workshop stage, each showing its open tasks. Open from the sidebar's default or from the Browse by vehicle link.

Which one opens first is up to you. Set your organisation's default in SettingsWorkshop (see Workshop and calendar settings). Personal navigation always remembers where you came from.

Summary cards

At the top of the vehicle list you'll see four cards. They're always in the same order so you can scan them at a glance.

My open tasks

Every open task assigned to you, counted across all vehicles. Click to open the list of them; click again to close. Use this to start your day.

Vehicles requiring work

How many vehicles at the workshop stage still have at least one open task. When this drops to zero, your workshop is caught up.

Tasks outstanding

Total open tasks across the organisation. Useful for managers reviewing load; click through to the calendar to see distribution.

Overdue tasks

Open tasks with a due date in the past. The number you want to see small. Click through to the calendar to see them grouped by assignee.

What's on the week calendar

  • Days: one column per working weekday. Weekends and days you've configured as non-working are hidden. Weeks are identified by the first working day.
  • Assignees: members appear as rows when they have tasks assigned. An Assign rail on the left lets managers drag tasks between assignees (when enabled in settings).
  • Show only mine: a toggle to show only tasks assigned to you.
  • Week navigation: arrows move one week at a time; a button returns you to this week.
  • Add task: opens the add task sheet. Covered in Adding, editing, and completing tasks.

What's on the vehicle list

  • Summary cards at the top, as above.
  • Workshop AI button links to the planning and job sheet flows. Covered in Planning sheets and Job sheets.
  • Week calendar button switches views without losing context.
  • Vehicles appear one per row with their stock number, make, model, and the open tasks tied to them. Click a row to open the workshop vehicle detail page.

When a vehicle leaves the workshop stage

Tasks you've already created stay on the vehicle. The workshop vehicle detail page is only available while the vehicle is actively in the workshop stage; once it moves on you'll see its tasks on the main vehicle detail page instead. Stage pills are covered in Stage pills.
