Archiving a customer

Hide a customer from pickers without losing history, and bring them back when needed.

Archiving a customer hides them from the Allocate customer picker on the vehicle detail page but keeps every linked vehicle, sale price, and payment intact. It's the right move when a customer is no longer active but you want to keep their history for reporting.

Before you start

  • You need Customers edit permission.

Archiving from the customer detail page

  1. Click Archive in the header action bar.
  2. Read the confirmation panel that opens.
  3. Click Archive customer.

The customer's status flips to Archived, shown as a small pill next to their name and in the Status column on the Customers list.

Unarchiving

Same button, reversed:

  1. Open the customer's detail page.
  2. Click Unarchive in the header.
  3. Confirm.

The customer returns to the Active state and shows up again in the Allocate customer picker on vehicles.

What archive does

  • Flips the customer's status to Archived.
  • Hides them from the Allocate customer picker on vehicle detail pages.
  • Keeps every linked vehicle connected to this customer. Sale prices, payments, and sold-by attribution are untouched.
  • Keeps them in the Customers list so you can still open their record, see their history, and search for them.

Archive vs delete

  • Archive when the customer has linked vehicles, or when you want to hide them from future allocation without losing history. Reversible.
  • Delete when the customer has no linked vehicles AND you want the record gone for good. Permanent. See Deleting a customer.

When to archive

  • A customer has completed all their purchases and isn't coming back.
  • A customer has asked not to be contacted again but you want to keep their purchase history.
  • You've consolidated duplicate customer records and want to retire the duplicates without losing the vehicles they were linked to.
