Your first week: a suggested checklist
A sequenced walk-through for an admin setting up a new ImportOps organisation, spread across a week so each step is light.
You've signed up as an admin. This is a suggested order for your first week. Do the setup in an afternoon, then spend a few days getting comfortable before you invite the rest of your team.

Day 1: Finish your organisation setup
When you first sign in as an admin, you'll land on the Getting started page, an in-app checklist with seven steps. Each step opens a section of Settings; ImportOps marks the step complete when you click Open section. The seven steps, in order:
- Organization profile: covered in Setting up your organisation
- Invite your team: covered in Inviting your team (you can skip this on day 1 and come back to it on day 4)
- Notification policy: org-wide defaults for who gets notified about what
- Costs and currency: your default currency and financial assumptions
- Vehicle defaults: stock-numbering format and vehicle metadata
- Document types: which document categories you require
- Workshop defaults: task groups and workshop execution settings
When you've opened every step at least once, ImportOps offers to Finish setup and continue at the bottom of the page. Click it. Finishing unlocks the full sidebar and lets your team into the app.
You don't need to fully configure every section before finishing setup. The defaults are sensible. The checklist exists to make sure you've seen each area, not to force perfection up front. You can refine any of these settings later.
Day 2: Orient yourself
Spend an hour getting the lay of the land.
- Read Welcome to ImportOps and Understanding the pipeline if you haven't already
- Open the Dashboard and look at every card. See Your dashboard at a glance. The metric cards are clickable, which is easy to miss.
- Click into Vehicles, Pipeline, Workshop, and Shipments: familiarise yourself with the layout even if the sections are empty
Day 3: Add your first vehicle
Pick a real vehicle you're currently handling, or use a test one you can archive afterwards.
- Open Vehicles
- Click Add vehicle
- Fill in the details you have (you don't need everything; the rest can be added as it comes)
As you record shipping details, workshop tasks, and a customer, watch the vehicle's stage change on the Dashboard and Pipeline views. This is how you'll know the pipeline model fits the way your business actually works.
Day 4: Invite the team
Open Settings → Team & roles and invite the people who'll use the app day-to-day. See Inviting your team.
Start with a small group. Verify the role you assign each person gives them the right access, then expand from there.
Day 5 and beyond: Refine
Revisit the settings sections with real data in the app. You'll have much better intuition for:
- Costs & currency: now that you've seen how costs show up on a vehicle
- Vehicle defaults: now that you've added a few vehicles
- Notification defaults: now that you've seen which events generate notifications
- Workshop defaults: now that you've run real tasks through
Also check the Reports section once your data starts accumulating. Early on it's sparse; within a week or two it starts telling you things.
Troubleshooting
- I can't get past the setup checklist: clicking Open section for each step is what marks it complete. You don't have to edit anything inside the step. Once all seven are opened, click Finish setup and continue at the bottom.
- My team was invited but can't do anything: during incomplete setup, non-admins only see Account. Finish your setup first; their full sidebar appears automatically.
- A teammate says a section is missing from their sidebar: check their role's permissions in Settings → Team & roles. Details in Inviting your team.
