Archiving a supplier

Archiving a supplier hides them from supplier pickers but keeps every linked vehicle and piece of history intact. It's the right move when a supplier isn't someone you want to pick for new vehicles but you need their historical data to stay.

Before you start

• You need Suppliers edit permission.

Two places to archive

• From the Suppliers list: click Archive on the row, then confirm in the inline panel that opens.
• From the supplier detail page: click Archive in the header, then confirm in the panel that opens below.

Both routes fire the same action; use whichever one you're already on.

What archiving does

• The supplier's status changes to Archived, shown in the Status column and on the detail page.
• The supplier is hidden from the supplier picker on the vehicle detail page. Your team can't accidentally pick them for a new vehicle.
• Every existing vehicle linked to this supplier keeps that link. KPI cards on the supplier detail page still reflect historical data.
• Supplier documents, the activity timeline, and the full profile remain visible.
• A Supplier archived entry is added to the activity timeline.

Unarchiving

Same two places, same confirmation. Click Unarchive and confirm. The supplier's status flips back to Active, they reappear in vehicle pickers, and an Unarchived entry is added to the timeline.

Archive vs delete

• Archive when the supplier has linked vehicles, or when you want to keep history even though you'll never buy from them again. Reversible.
• Delete when the supplier has no linked vehicles AND you want the record gone for good. Permanent. See Deleting a supplier.

When to archive

• The supplier is no longer trading but you've bought vehicles from them in the past.
• You've consolidated onto a single supplier and want to retire duplicates that already have vehicles on them.
• A one-off supplier you're not going to use again and want to keep out of future pickers while preserving the one or two vehicles attached.
