Adding a vehicle
Create a single vehicle record by filling in a short form with stock number, supplier, and origin details.
Updated Apr 18, 2026
Adding a vehicle records a new entry in your pipeline. It appears in the Vehicles list with the Purchased stage, ready for you to attach a shipment, costs, customer, and so on.
Before you start
- You need Vehicles edit permission.
- If you're near your plan's active-vehicle limit, free up a slot or upgrade first. See The Vehicles list for how the limit is calculated.
To add a vehicle
- From Vehicles, click Add vehicle
- Fill in the fields (described below)
- Click Save
You land on the new vehicle's detail page.
The fields
- Stock number: auto-generated from your organisation's stock-number prefix plus the next sequence number (for example
IMP-042). You can override it if you already have your own numbering. - Source type: Auction, Agent, Dealer, Private, or Trade.
- Origin country: where the vehicle is being shipped from. Pick from the list, or choose Other (ISO code) for a country not in the default list.
- Make, model, year, VIN, mileage (with mileage type: miles or kilometres), drive side (left or right).
- Supplier: pick an existing supplier, or click + Add supplier to create one inline without leaving the sheet.
Good to know
- The stock number preview updates as you type your prefix. The "next number" only increments after a save succeeds, so cancelling the sheet doesn't waste a number.
- Mileage type and drive side defaults come from your organisation's country (set under Settings → Organization). If you're importing from a country that uses the opposite drive side, change it here.
- The inline supplier creation saves a minimal record (only the name). You can fill in contact details, addresses, and invoices later from Suppliers.
