Moving a vehicle between stages
Use the Move stage button to advance or reverse a vehicle's stage, including the context each transition asks for.
Most stage changes happen automatically as a by-product of other work. When they don't, the Move stage button lets you advance a vehicle through the pipeline manually.
Before you start
- You need Vehicles edit permission.
- You're on a vehicle's detail page.
To move a vehicle
- On the vehicle detail page, click Move stage in the action bar
- Pick a target stage from the options shown
- Fill in any requested context fields (vessel, ETA, arrival date)
- Click Save
The stage pill updates immediately and the move is recorded in the vehicle's activity timeline with your name and timestamp.
Allowed transitions
You can only move to a stage that's a valid next step from the current one. Other options don't appear.
| From | Allowed targets |
|---|---|
| Purchased | In transit, Arrived at destination |
| In transit | Arrived at destination |
| Arrived at destination | At workshop |
| At workshop | Sale ready |
| Sale ready | At workshop (for further prep), Sold / Delivered |
| Sold / Delivered | Terminal. No further moves. |
If you need a non-standard move, you'll need to undo the intermediate data or contact support.
Context fields per transition
Some moves ask for extra information so the rest of the app has what it needs:
- Moving to In transit asks for vessel, ETD (expected time of departure), and ETA (expected time of arrival).
- Moving to Arrived at destination asks for the arrival date.
- Moving to At workshop or Sale ready needs no extra context.
Leaving optional fields blank is fine; you can fill them in later from the vehicle's shipment record.
Why manual moves exist
Most stage changes happen as a side-effect of other actions (assigning a shipment, completing tasks, recording a payment). Manual moves cover the gaps:
- When you didn't capture the full workflow and need to catch the system up
- When you're correcting a mistaken advance
- When you want to send a vehicle back to the workshop after marking it Sale ready
Good to know
- Moving to Sold / Delivered is normally driven by the Customer Sale tab (agreed price plus a full payment). Moving there manually is possible, but it skips the customer and payment data. Prefer Allocating a customer to a vehicle instead.
- Moves are logged in the activity timeline so the change is auditable.
