Notes on a vehicle
Add internal or customer-facing notes on a vehicle, with @mentions and tracking-page visibility.
Updated Apr 18, 2026
Notes are the running conversation about a vehicle. Use Internal notes for anything team-only; use Customer notes to share status updates with the customer through their tracking page.
Before you start
- You're on a vehicle's detail page.
- You need Vehicles edit permission.
Adding a note
- Open the Notes tab
- Type your note in the input
- Pick a type: Internal (team-only) or Customer (visible on the public tracking page if enabled)
- Click Save
Mentioning teammates
- Type
@and start typing the teammate's name to autocomplete - Press Tab or Enter to pick from the suggestions
- Mentioned teammates receive a notification
- Mentions work in both Internal and Customer notes, but they only notify internal team members; customers on the tracking page don't see
@mentiontags
Internal vs Customer
- Internal notes are visible to your team only. Use them for anything you wouldn't want a customer to read.
- Customer notes can appear on the vehicle's public tracking page, but only when the tracking link is active AND the Show customer notes on tracking page option is ticked for that vehicle. Setting a note's type to Customer doesn't publish it on its own.
You can change a note's type after creating it by editing the note.
Editing and deleting
- Click the pencil on any note to edit
- Click the trash icon to delete (with a confirmation)
- You can edit or delete any note your permissions allow, not only ones you wrote
Good to know
- Notes are ordered newest-first in the Notes tab.
- On the tracking page, Customer notes show with their date but not the author's name.
- For how to enable customer-note visibility on the tracking page, see Sharing a tracking link with your customer.
